OTHER POLICIES OF INTEREST

Other policies that an NPC may want to include in an employee handbook that are not discussed elsewhere on this website:

  • Phone calls, voice-mail and regular mail - Professional appearance is important in the conduct of business. NPCs may wish to promote professionalism by establishing policies regarding with regard to phone calls, voice-mail and official correspondence.
  • Personal calls - A personal phone calls policy should stress that business related calls are priority. Personal calls should be made during lunch or break periods and otherwise limited to emergency calls only.
  • E-mail and internet policies - Such a policy should detail the proper use of the internet and the appropriate use of e-mail to limit abuse or unprofessional correspondence.
  • Computer Security - A computer security policy should instruct employees to change their computer passwords on a periodic basis and state that computer access/passwords of terminated employees will be deleted promptly.
  • NPC and/or VA property - To protect business equipment, such as copiers, facsimile machines, computer systems, and telephone equipment, NPCs should have a business property policy stating that NPC and VA property are to be used for business related purposes only.
  • Acceptance of gifts - NPCs may want to have a policy outlining the regulations for acceptance of gifts from vendors, sales representatives, etc. Since all NPC employees are on WOC appointments in the VA, federal regulations governing federal employees’ acceptance of gifts would apply.   • Personal letters, articles and public affairs - Employees should be informed that they may not use the organization’s name, letterhead or their title in any correspondence or manner where personal opinions and views may be construed as the opinion or view of the NPC.
  • Driving on the job - A policy for employees that are required to drive as part of their employment should cover: drivers license, automobile insurance, reimbursement for costs and traffic/parking citations.
  • Building or emergency procedures - The affiliated VAMC is responsible for informing all WOC employees about building and emergency procedures. The NPC should make sure that all employees are properly trained and informed. In addition, some VAMC’s may require WOC employees to complete an annual training on the subject.
  • Security procedures (key/entry cards and security systems) - All NPC employees should be aware of the policies and procedures for the affiliated VAMC’s security system (i.e., access to buildings, restricted times, etc.)
  • Facility and equipment problems - NPC employees should know whom to contact for facility and equipment problems.
  • Parking - NPC employees should be aware of any VAMC rules regarding parking or any associated costs (i.e., fees for lost or stolen access cards, etc.)
  • Personal possessions - NPCs may want to have a policy that suggests that employees keep personal possession in a secure place and that the NPC will not be responsible for any lost or stolen personal property.
